Who I am

I am Graham Gough, trading as Graham Gough Coaching, a sole trader based in London, UK. I offer one-to-one coaching, medicine-assisted therapeutic retreats, and men's retreat programmes.

This policy explains what personal data I collect, why I collect it, how I use it, and your rights in relation to it. I take privacy seriously — particularly given the sensitive nature of the work I do.

What data do I collect?

Depending on how you interact with me, I may collect:

  • Your name, email address, phone number, and preferred messaging platform

  • Date, time, and place of birth (where you choose to provide this)

  • Sensitive personal information, including physical and mental health history, medication, trauma history, and other information provided through intake forms

  • Session notes, summaries, and transcripts

  • Payment information

  • Communications via WhatsApp, Signal, Facebook Messenger, or email

Why I collect it

I collect this information to:

  • Assess whether my work is appropriate for you at this time

  • Provide safe, informed facilitation and coaching

  • Communicate with you before, during, and after retreats or coaching programmes

  • Send you occasional updates about retreats, offerings, and reflections if you have subscribed to my mailing list

  • Process payments

The legal basis for processing sensitive health data is your explicit consent, obtained through the intake form.

How I use your data

Your data is used only for the purposes described above. I do not sell or share your data with advertisers or third parties for marketing purposes.

For retreat participants, relevant information may be shared with my co-facilitators on a need-to-know basis:

  • Medicine-assisted retreat data may be shared with a relevant co-facilitator

  • Emergence Brotherhood retreat data may be shared with Robbie Griffin

All co-facilitators are bound by the same duty of confidentiality.

Third-party tools

I use the following tools, which may process your personal data:

  • Squarespace — website hosting and newsletter sign-ups

  • Google Forms — intake forms

  • Calendly — appointment scheduling

  • Zoom — online sessions

  • Grain — session transcription and recording

  • WhatsApp / Signal / Facebook Messenger — between-session communication

  • Claude (Anthropic) — AI-assisted session summaries

Each of these services has its own privacy policy. I use them solely for the purposes described in this policy and do not authorise them to use your data for any other purpose.

How long will I keep your data?

I retain your personal data for as long as you are a client or retreat participant, and until you request its removal. You may request deletion of your data at any time by contacting me at gram.gough@googlemail.com.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data I hold about you

  • Request correction of inaccurate data

  • Request the deletion of your data

  • Withdraw consent at any time

  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk

Confidentiality

All personal information shared in coaching sessions and retreats is treated as strictly confidential. I will only break confidentiality if I believe there is a serious risk of harm to you or another person, in which case I will seek to discuss this with you first wherever possible.

As I said — please have this reviewed by a lawyer before publishing, particularly the sections on sensitive health data and GDPR consent. The ICO website also has free guidance for sole traders that's worth reading. But this gives you a solid working draft to take to that conversation.
